Dragging fields around until a chart looks right often produces a dashboard that is confidently wrong. If no one on the team knows DAX and modelling, get help for the build. - No one owning the reports. Without an owner, dashboards multiply and go stale. Nobody knows which one is current. Assign someone to own the reports, keep them accurate and retire the dead ones. - Reaching for it on a one-off. If you need a single number once, Power BI is overkill. It pays off on the reports you look at again and again, not on throwaway calculations. Know which job you actually have. The verdict ## Should your business use Power BI? **Yes, if you have numbers you look at more than once and they currently live in a pile of spreadsheets.** If someone in your business rebuilds the same report every month, or the team keeps quoting different figures, Power BI is built for exactly that problem. Be clear-eyed about two things. First, it only works on clean, well-structured data, so budget time for tidying the source. Second, building a genuinely useful dashboard is a real skill, and everyone who views it generally needs a Pro licence, so count your viewers before you commit. Get those right and the payoff is large. The report that used to eat two days a month builds itself overnight. The owner checks cash from a phone on a Sunday. Building is free. Power BI Desktop, the Windows app where reports are created, costs nothing to download or use. Sharing is what costs money: once you publish a dashboard for colleagues to open, each of those viewers generally needs a Power BI Pro licence. ### Do people who only look at a dashboard need a licence? Yes, in the usual per-user model. Ten people who only ever read the dashboard still need ten Pro licences. The exception is buying dedicated Microsoft Fabric capacity, where viewers can read reports without individual licences, which only makes financial sense for larger teams. ### Is Power BI included in Microsoft 365? Not in Business Basic, Business Standard or Business Premium. Power BI Pro is included in Microsoft 365 E5. On any other plan it is a separate per-user add-on. ### What is the difference between a report and a dashboard? A report is a multi-page, detailed document with filters and drill-downs, built for someone who wants to dig in. A dashboard is a single screen pulling the most important visuals into one view, built for a glance and often stitched together from several reports. ### How long does a useful dashboard take to build? The charts are the quick part. Most of the effort goes into connecting the sources and cleaning and modelling the data so the numbers come out right. If your source data is tidy, a focused dashboard is days rather than weeks. If it is not, fixing the data is the project.
